    The Transportation Coordinator is responsible for all supervision and enforcement of all transportation policies, procedures, and protocols; direct supervision of transportation operations, parking, and personnel; work alongside multiple business units with planning and scheduling transportation requests in addition to providing regular shuttle services; provide transports for members of the community; fosters an active relationship with vehicle maintenance shops, fuel stations, and transportation vendors; a genuine sense of hospitality, with a commitment to delivering a high standard of service while providing safe and efficient quality of care.

    Responsibilities

    • Ability to assist residents with wheelchairs and walkers on and off transportation vehicles.
    • Work from written requisitions or verbal instructions.
    • Generating, prioritizing, and scheduling transportation requests.

    • Perform training of drivers; observe and correct behaviors or procedures as needed.
    • Maintain and enforce a clean work environment, may include picking up trash or cleaning spills.
    • Oversees the relationship and work of all outside vendors and contractors to ensure compliance with contractual agreements, schedules, and budgetary restrictions.
    • Forecast employment needs, schedule and manage work force to meet daily operational demands including ensuring training is provided, verifying certifications and qualifications
    • Puts Customer Service first: Ensures that residents and families receive the highest quality of service in a safe, caring and compassionate atmosphere which recognizes the individuals’ needs and rights.
    • Maintain the confidentiality and security of all facility and patient related information (HIPPA).
    • Have all required inspections performed on a yearly basis.
    • Ensures that staff are trained or current with CPR/BLS certifications.
    • Assist with offsite appointments, resident trips, Campus Shuttle and Forest Hill coverage with assistance from Security Team.
    • Store gas receipts in monthly envelope provided.
    • Turn gas envelope in to Security Manager at the end of each month.
    • Turn gas envelope in to finance at the end of each month in the event of the Director of Security & Transportation’s absence.
    • Assist Security & Transportation Director with interviewing prospective employees and vendors.
    • Effective interpersonal and electronic communication with diverse business units, vendors, residents, and others.
    • Acts decisively and immediately in crucial situations. Demonstrates an ability to remain calm and alert under constant pressures and to deal tactfully and effectively with difficult situations.
    • Interfaces effectively with Administration Personnel, Executives, Directors, managers, supervisors, residents, family, visitors, and employees on a daily basis.
    • Ensure that all members of the transportation department arrive early on snow days to warm up and clean off vehicles.
    • Ensure that starting and ending mileage/time sheets are properly filled out, stored and maintained.
    • Ensure scheduling for resident hospital visits and field trips are coordinated and properly staffed with a driver.
    • Report any damages or repairs to the Security & Transportation Director; document electronically.
    • Communicate Coverage and Operational concerns to the Security & Transportation Director.

    • Personal Phones cannot be used while operating vehicles except during urgent situations
    • The above covers the most significant responsibilities of the position. It does not, however, exclude other duties, which would be in conformity with the level of the position. Completes special projects as assigned.

    Qualifications

    • Bachelor’s Degree in Business Management or related field recommended.
    • Minimum of 5 years of related experience required; preferably in Healthcare or Hospitality industry.
    • At least two years supervisory experience required.
    • Valid motor vehicle operator’s license required; CDL preferred.
