    This is a part time, 20 hour per week position, reporting to the Director of Professional Practice and Education.  Responsible for coordination of the Nursing Career Development program in collaboration with the Director of Professional Practice and Education, which includes the Nursing Scholarship program, the Centralized Clinical Placement (CCP) system for nursing program rotations, nursing program contracts, Sr. Patient Care Associate (PCA) program, grants management, nursing program information for employees, and design/editing of educational and promotional materials for print and online distribution. Will also support the department in the organization and use of the Learning Management System (LMS).  Perform a wide range of diversified administrative functions. Must be able to develop databases and reports necessary to summarize department projects and outcomes. Responsible for account management of department invoices and billing.  Acts as a computer technology resource for department members. Assists members of the department team in the development of forms and data display. This position supports Professional Development staff on both campuses.


    • Manages the Nursing Career Development program including Nursing Scholarship Program, CCP placements/contracts, Sr. PCA education program
    • Demonstrates strong project management skills, critical thinking, problem solving and attention to detail.
    • Responsible for accurate payment of scholarship recipient bills, management of invoice process, and developing clear, efficient tracking systems and providing reports to directors and committees when necessary.
    • Responsible for supporting the nursing scholarship application/selection process and for setting up an efficient method of anticipating costs for Nursing Scholarship Program, when planning for each new nursing scholarship cycle.
    • Maintains expertise, organizes and provides information for employees regarding the planning process for attending nursing school, including individual school features, costs and requirements, making appointments with employees as necessary.
    • Manages the Centralized Clinical Placement website, coordinating with managers to respond to nursing school requests for clinical placements at HSL
    • Independent in creation of infrastructure to support accurate, efficient payment of bills for nursing scholarship recipients.
    • Create and maintain accurate, clear spreadsheets to track nursing scholarship data.
    • Manage all aspects of running the Sr. PCA program such as applications, scheduling of classes, speakers and rooms, laptop/LCD, attendance, evaluations.
    • Develop reports and presentations on the nursing scholarship program and Sr. PCA program.
    • Manage the Centralized Clinical Placement website responses to requests for nursing rotation placements at HSL in coordination with managers.
    • Coordinate all aspects of student clinical assignments to ensure smooth functioning of these assignments for staff and students.
    • Maintain contracts and documents required for the clinical affiliations program.
    • Meets with employees to review nursing school information regarding program details, recommended/approved schools, timelines, requirements.
    • Arrange appointments for staff to participate in JVS career coaching as needed.
    • Provide support for grant applications and reports and various written and online materials.
    • Create LMS educational modules in Adobe Captivate.
    • Load and assign educational modules in LMS.
    • Assist employees with LMS questions in a timely way.
    • Support Professional Development staff in the use of the LMS.
    • Assist with educational programming to include, booking rooms, scheduling classrooms, oversight of registration process and creation of program flyers.
    • Develop and/or support databases and reports needed to communicate quarterly and yearly educational outcomes. Responsible for accuracy and display of data.
    • Triage telephone calls and ensure that team members are informed of issues as appropriate to the urgency of the request.
    • Support the coordination of department billing and invoicing. Ensure payments are placed in appropriate accounts and are completed in a timely manner.
    • Support computer technology questions of department staff.
    • Provide clerical support to Professional Development team including typing data entry, educational programming support and telephone triage.
    • Provide various reports and formats to display data and/or outcomes as requested.
    • Coordinate Director’s schedule as needed. Support and provide agendas and necessary material needed for various committees.
    • Manage contact hour programming to ensuring adherence to guidelines. Ensures completeness of program application.
    • Create efficiencies and necessary processes to better handle workflow.
    • Assist department staff developing tools and data display as appropriate to the information being shared.
    • Assist with other duties as assigned.


    • Must have a BS or BA degree.
    • Must be proficient in Microsoft office. Must have experience in database development and data management.
    • Must be able to prioritize and handle multiple requests.
    • Must speak and write English fluently.
