    Hebrew SeniorLife (HSL) is a 100+ year-old organization committed to maximizing the quality of life of seniors through an integrated network of housing, health care, research and teaching programs in the Greater Boston area. HSL is the largest nonprofit provider of senior housing and health care in New England. Serving over 5,000 seniors each year, HSL’s facilities and programs are open to people of all religions, races, creeds and ethnic origins.

     

    The organization is comprised of five senior supportive housing communities (with a mixture of low, moderate and market rate units); an award winning continuing care retirement community; a 725-bed chronic disease hospital that provides long-term and post acute care; and is home to the nation’s largest geriatric research institute in an applied setting and one of the nation’s largest geriatric teaching programs. HSL also provides home health, and outpatient services.

     

    HSL is currently seeking an Administrative Manager to support the operations of a Center for Memory Health (CMH) for HSL and the broader community. The Administrative Manager would leverage existing services provided in Alzheimer’s disease and memory care by HSL and organize the development and implementation of additional services to deliver comprehensive care to patients with Alzheimer’s disease and cognitive impairments within the HSL facilities programs and beyond. In addition to coordinating clinical services, the Administrative Manager for the CMH will also oversee the operations of other core aspects of the CMH’s work, including education, research and advocacy of memory care related needs for all affected in the HSL system-wide continuum of housing and health care and also the community. Leadership in these areas will require detailed coordination of communication, operational procedures including budgets and finance, and overseeing the fidelity of research projects and data management integrated with best practices throughout HSL and with regional partners including community based organizations.

     

     

    Responsibilities

     

    Programming/Service Offerings:

    • Support interventions to prevent physical and cognitive decline for an aging population.
    • Incorporate clinical outcome measures to demonstrate reach, effectiveness, and efficiency.
    • Coordinate and bring together the work of CMH across the continuum of care and promote care coordination
    • Increase and further develop the collaboration between Hebrew SeniorLife’s clinical care providers and researchers of the Institute for Aging Research.
    • Oversee all key programmatic activities and services, including:
      • Establishing Center as a key source of information, support, education and advocacy to HSL and the greater community
      • Coordinate the educational programs in Alzheimer’s disease and other dementias across Hebrew SeniorLife’s continuum of care (including Senior Living Communities, Home and Community Based Services, and Post-Acute and Long-term Care).
      • Collaborate with HSL Communications to promote all CMH clinical services.

     

    Data Management

    • Work to implement an assessment package of standardized instruments and quality outcome measurements for all patients
    • Work with the Medical Director and clinical team to establish a database that would serve as a resource to conduct research, evaluation, and quality assurance assessments for patients with memory related diseases.
    • Work with HSL Information Technology Department staff and systems to assure there is capacity for full documentation of care and research

    Communication and Outreach

    • Develop and maintain internal relationships with department directors and key personnel
    • Develop and maintain external relationships with leaders in research and clinical care through the U.S., and bring information from these relationships back to HSL for incorporation into our program.
    • Present work emanating from CMH at various meetings.

     

    Research and Project Coordination:

    • Work with the clinical and research team leaders to develop project goals and assure that timelines are adhered to and milestones are met.
    • Oversee CMH day-to-day operations, and handle urgent issues/problems as they arise.

     

    Staff Supervision and Management:

    • Help recruit and manage a highly skilled clinical, research, and supportive staff necessary to promote the quality of life for older adults suffering from Alzheimer’s disease.
    • Serve as the interface with Human Resources in relation to all personnel issues.
    • Work with the President of HRC and Medical Director, CMH on the long-range staffing and organization structure for the Center. Draft operational manuals, and ensure dissemination of, and adherence to, all procedures.

     

    Compliance Oversight and Monitoring:

    • Ensure research and clinical regulatory compliance pertaining to the work being conducted on behalf of the CMH

     

     

    Financial responsibilities:

    • Prepare an annual budget and perform financial monitoring and budget tracking.
    • Address issues of long-term financial planning for the CMH by working with the both the finance department and development office to identify, cultivate, and steward prospects and donors that wish to support the CMH programs, projects, and research.
    • Assist in seeking sponsored award funding.
    • Help to develop and market fee-for-service products (including but not limited to training and print materials) for the dissemination of best practices in Dementia and Alzheimer’s care identified by the CMBachelor degree required, business or healthcare management; master preferred

     

     

    Qualifications

    At least 2 to 6 years of  experience in administration and  program development,.

    • Exposure to academic administration preferred.
    • Prior experience in clinic or department operations
    • Prior experience in working with older adults is preferred.
    • Prior experience in staff supervision, including hiring, training, and supervising staff on a day to day basis is required.
    • Prior experience in preparing and managing budgets, sponsored awards and other funding sources required.
    • Experience with understanding of evidence-based practice
    • Must have strong computer skills, including Windows, MS Word, Excel, PowerPoint, Internet and email.

      • Be a team player who communicates effectively with all levels of personnel within the Center and Hebrew SeniorLife, and outside of Hebrew SeniorLife as responsibilities require.
      • Impeccable organizational skills and attention to detail; self-motivated with excellent problem solving skills and ability to work independently.
      • Ability to give presentations to professional and lay audiences in subject matter.
      • Comfort with fundraising activities.
      • Able to develop, manage, and perform basic analyses of patient databases and registries.
      • Ability to promote the CMH in conjunction with the Marketing team
